Understanding the Document workflow

Understand how a Template moves through SimplerQMS without using a Change Request (CR). This helps you choose the right path to create, review, approve, and make a template effective — or decide when a CR is required instead.

Who Is This For?

  • Template Authors – creating and drafting new templates.

  • Template Owners / Process Managers – ensuring the correct path is followed.

  • Reviewers – providing quality and compliance feedback.

  • QA / Approvers – verifying compliance and approving templates.

How to Do It?

Step 1: Start in Draft

Create and draft your document before sending for review or approval.

Step 2: Review the document

Send the draft for Review to the appropriate reviewers. Capture feedback and make revisions as needed.

Step 3: Approve the document

Route the revised draft for Approval. Confirm properties (owner, lifecycle, effective date) before approving.

Step 4: Make it Effective

After approval, change the status to Effective so the document can be used organization-wide.

When a Change Request is required

If your QMS requires cross-functional assessment, linked actions, or coordinated releases, manage the template via a Change Request instead.

Tips

  • 💡 Use the smallest effective review group that meets your SOPs to reduce cycle time.

  • 💡 Keep properties (Owner, Process, Entity Type) accurate.

  • 💡 If multiple documents or trainings are impacted, consider the Change Request path.
