Reviewing a Template

Ensure a Template is complete, accurate, and compliant before approval. This process lets reviewers propose changes, confirm property fields, and close the review so the template can move forward.

  • Reviewers – evaluating content and suggesting updates

  • Template Authors – accepting and applying feedback

  • Template Owners – coordinating review and closing if needed

How to Do It?

Step 1: Access the review task

  1. From Home > My Work Dashboard, select the template and click Go to Document from the action preview.

  2. Click the template in your task list, then select Go to document in the right pane to open its details.


Step 2: Check out and review in Word

Click Check Out and open the file in Microsoft Word (or the originating application). Click Enable Editing to start drafting.

Sign in to the SimplerQMS Add-in (Optional)

If not yet signed in, go to SimplerQMS Add-ins and log in with your account.

Step 3: Check in your reviewed version

From the SimplerQMS add-in, choose Check In to upload your changes. Then Save and Close the file.

❗ Version control: Always use Check In from the add-in to preserve full audit trail and metadata.


Step 4: Mark your review as completed

When your review is done, click Mark Review as Completed at the bottom of the Properties card.

Secondary actions (three-dots icon)

  • Send back to Draft – Use if significant changes are required. State changes to Draft and the item is assigned back to the Author.

  • Close Review – Template Owners can close the review without waiting for all reviewers (e.g., time-critical updates). State changes to Review Closed, then the author finalizes content before sending for approval.

πŸ’‘Tip: Once all reviewers complete their review, the template state changes to Review Closed and routes back to the Author/Owner for final drafting.

❗ Compliance Reminder: Reviews should verify required properties are present and correct (e.g., Quality Process, default settings, property fields). Only move forward when the template meets your SOP/quality criteria.
