Who Is This For?
Template Owners / Initiators – creating new templates and setting initial properties
Template Authors – drafting and preparing content for review
Reviewers – providing quality and compliance feedback
QA / Approvers – verifying compliance and approving templates+
How to Do It?
Step 1: Open the Templates module
Go to Templates > Create New Template

💡 If your process requires impact assessment or coordinated actions, consider a Change Request instead.
Step 2: Fill in Template properties
Complete the Template Info fields.
Field name | Description | Note |
Title* | A clear, descriptive title that indicates the template’s purpose | You can align the title with the intended Document Type |
Choose Template | Select an existing template from the dropdown to use as a base | Choose Blank Template if none exist |
Type* | The entity type for the record | Template should be the only option |
Process* | The process/area this template belongs to | Use your organization’s process list |
Click to Upload | Upload a file from your computer (drag-and-drop supported) | Optional if a base template is selected. Uploading a file replaces a previously selected base template. You can add additional files if needed. |
💡 Tip: Keep Title, Process, and Type accurate—these drive workflow, ownership, and search.

Step 3: Understand the Template Owner assignment
The person who creates the template is automatically set as the Template Owner. You can change this later in Template Access within the properties card.

Using “Choose Template” speeds up setup and ensures formatting consistency.
Uploading your own file replaces the selected base, which is helpful if your department maintains specialty formats.
If you switch approaches mid-creation, confirm the correct file is attached before sending for review.
❗ Compliance Reminder: Only proceed without a Change Request if your QMS allows it for templates. If the template affects multiple documents, training, or requires cross-functional actions, create and manage it via a Change Request.

Tips
💡 Use a naming pattern for Title (e.g., “Template – [Process] – [Document Type]”) to improve searchability.
💡 If you’re unsure about Process, check with the process owner to avoid rework during approval.
💡 After creation, preview the generated file to confirm headers/footers and placeholders are correct before routing for review.
