Making a Template effective

Move a Template from 'For Training' to 'Effective' so it can be used to create controlled documents immediately. This is typically used when the planned effective date needs to be brought forward.

Who Is This For?

  • Template Owners โ€“ releasing templates for use

  • QA / Approvers โ€“ verifying readiness and compliance

  • Process Owners โ€“ coordinating the timing of effective releases

๐Ÿ“ Note: If the templateโ€™s Effective Date is the same as the Approval Date, the system makes it Effective automatically - no additional action is required.

How to Do It?

Step 1: Open the Templates module

Go to Templates from the left sidebar. Use the dropdown and select Effective & Retired to view released copies. Open the effective copy whose current state is For Training.

Step 2: Make the template effective

At the bottom of the Properties card, click Make Effective. Enter a clear Version Description, then Submit.


Step 3: Approve and sign

Choose Approve and Sign and enter your SimplerQMS login + password to apply the compliant e-signature. The template state then changes to Effective.

Templates with a Change Request

If the template is linked to a Change Request, it may remain in Awaiting Release after approval.

The Change Request must be fully approved and released before the template becomes Effective. The Effective Date is transferred from the Change Request upon closure.

Tips

  • ๐Ÿ’ก Use a concise Version Description (whatโ€™s changing and why) to improve audit clarity.

  • ๐Ÿ’ก Verify that training needs are addressed before early activation to avoid misuse of untrained content.

  • ๐Ÿ’ก Double-check the Effective copy is the one in For Training before making it Effective.
