Approving a Template

Approve a template to confirm it’s accurate, compliant, and ready for controlled use. Approval captures required e-signatures, locks the content, and moves the template toward Effective.

Who Is This For?

  • Template Authors – preparing and sending the template for approval

  • Approvers (QA / Process Owners) – verifying completeness and approving with e-signature

  • Template Owners – coordinating final checks and routing

How to Do It?

From Home → My Work, select your approval task.

Click Go to document → Approve at the bottom of the action pane → Approve and Sign. Enter your SimplerQMS login + password to provide the electronic signature.

Secondary actions (three-dots menu)

  • Send back to Draft – if the template does not meet expectations or changes are still required; state changes to ‘Draft’ and gets assigned back to the Author.

What happens after Approval?

  • If Effective Date = today (approval date): the system generates an Effective PDF copy.

  • If Effective Date is in the future: state changes to For Training and the PDF is marked For Training. To move to Effective on/after the date, complete the next step in the process.

If linked to a Change Request

The template remains Awaiting Release after approval. It becomes Effective only when the Change Request is fully approved and released.


Tips

  • 💡 Write a concise Version Description so approvers quickly understand the change.

  • 💡 Double-check Quality Process, Owner, and default settings before approval to avoid rework.

  • 💡 If scope changed after review, use Route for Another Review to stay aligned with your SOPs.
