Setting up Google SSO for SimplerQMS

Enable Google SSO for your SimplerQMS environment by submitting your domain for configuration, validating your first login, and providing the required onboarding evidence — so your organization can onboard users securely and without access interruptions.

Who Is This For?

  • IT Managers / Google Workspace Admins submitting the domain and preparing user accounts

  • SimplerQMS Admins validating access and coordinating onboarding evidence

How to do Google SSO Setup for SimplerQMS?

Step 1: Submit your domain name to SimplerQMS Support

The SimplerQMS team needs your domain name to configure Google SSO in the platform.

  1. Email your company domain name to [email protected]

  2. Include your company name in the message

  3. Wait for confirmation from the SimplerQMS team that SSO configuration is complete before moving on

Compliance reminder: Only submit a domain you control and use for managed company accounts (Google Workspace). Avoid personal email domains.

Step 2: Test login to SimplerQMS using Google SSO

Once SimplerQMS confirms the SSO configuration is complete, test your first login:

  1. Open the correct login link for your region

  2. Sign in with a Google Workspace account on your domain

  3. Confirm you land in SimplerQMS successfully

Compliance reminder: Verify access before inviting additional users. This prevents onboarding delays and avoids lockouts.

Step 3: Document your successful first login

After you log in successfully the first time:

  1. Take a screenshot that clearly shows you are logged in

  2. Send the screenshot to [email protected] for documentation purposes

This documentation allows the SimplerQMS team to proceed with onboarding.

Step 4: Add users and complete user setup for onboarding

Once Google SSO is working, you can start preparing user access.

Add users in Google Workspace

  1. Create users in the Google Admin Console so they can authenticate via SSO

  2. Have users log in to SimplerQMS at least once (their user profile is created automatically on first login)

Confirm license and access in SimplerQMS

On first login, users are automatically created with a Viewer license. After they’ve logged in, the admin can:

  1. Update the user’s license type (e.g., Full, Standard, or Light)

  2. Assign the user to groups

  3. Assign to training rules to initiate training records

Compliance reminder: Assign licenses, groups, and training rules based on job role/responsibilities to maintain controlled access.

Tips

  • 💡 Use an IT/admin-owned Google Workspace account for the first login test so access issues can be resolved quickly.

  • 💡 Send your domain details early to avoid delaying the onboarding kick-off meeting.

  • 💡 After users complete their first login, review licenses and group access promptly to keep permissions aligned with job roles.
