Searching and Filtering Records

Help you quickly find the right records across SimplerQMS using global search, in-list search, filters, and reusable quick filters (segments).

Who Is This For?

  • All Users – locating documents, templates, training, and tasks

  • Authors / Owners – narrowing lists to working items

  • QA / Managers – applying targeted filters for reviews and audits

How to Do It?

Step 1: Run a Global Search

From anywhere, search across all modules in one go.

  1. Open the sidebar and select Search.

  2. Type a keyword, ID, or user name, then press Enter.

  3. Review results grouped by module (e.g., Documents, Templates, Users)

Compliance reminder: Search results respect your access permissions. You may not see restricted records even if they exist.


Step 2: Use In-List Search (current module)

When you already know the module you’re in, this is the fastest option.

  1. Open the desired module list.

  2. In the search bar at the top, start typing your keyword.

  3. Matching rows appear immediately as you type.

💡Tip: Combine a short keyword with Filters (next step) to narrow large lists quickly.


Step 3: Apply Filters to refine results

Target your list using specific criteria.

  1. Click the Filter icon (three horizontal lines) next to the search bar.

  2. Select one or more criteria (e.g., Type, Process, State, Owner).

  3. The list updates automatically to show only matching records.

💡Tip: Start broad (e.g., Type) and add more filters (e.g., Process, State) only as needed to avoid zero results.


Step 4: Save your filters as a View

Turn commonly used filters into a reusable View.

  1. After applying filters, click Save As View.

  2. Enter a clear name (e.g., “My Draft SOPs”).

  3. Choose visibility: Only me, Everyone, or a Specific group.

  4. Click Save. Your View appears in the Views list on the left for one-click access.

📝 Private vs. shared Views

  • Private Views are visible only to you.

  • Shared Views (to Everyone or a specific Group) help teams align on common work queues.

💡Tip: Use a naming convention, e.g., Dept – Process – State (QA – CAPA – Draft) so teams recognize the purpose at a glance.


Tips

  • 💡 If results look incomplete, clear filters and try Global Search to broaden scope.

  • 💡 Save Views for recurring tasks (e.g., “My reviews due this week”) to reduce clicks.

  • 💡 When in doubt, verify your permissions—they control what you can find and filter.
