Who is this for?
Reviewer - completing the review
Owner - closing a review or sending the CAPA back to Planning
How to do it
A review applies in the Planning and Execution phases when the CAPA type requires it.
Complete the review (Reviewer)
The reviewer receives a notification and a task on the My Work page. Open the CAPA and review it.
During review the reviewer has edit access to both the document content and the property card.
Select Mark review as completed when you are satisfied with the document content.
The state changes to Review Closed. After closing the review, the reviewer can no longer change the document or properties.
Marking the review as completed.
Owner review actions
The Owner has additional actions during review:
Close review - in the case that one or more reviewers cannot complete the review but the owners deems the completed review sufficient, they can close the review with a justification and an electronic signature; the state changes to Review Closed.
Send back to Planning - return the CAPA to the Planning phase for rework. The document can be re-authored and actions can be edited or reassigned; a Due Date must be set again before the CAPA can be sent for review.
❗Review is a control, not a rubber stamp. The reviewer has edit access and an opportunity to change the content before closing.
❗When an Owner closes a review on a reviewer's behalf, the justification and electronic signature are what preserve independence in the record; use that path as the exception, not the norm.
💡Tip: If the CAPA needs rework, use Send back to Planning rather than forcing it through approval. This keeps the history clean and reopens editing for actions and content (remember a Due Date must be set again).
💡Tip: Make use of Track Changes in Word to highlight what the reviewer modified during the review.
