Making a Change Request Effective

Enable Owners to make a Change Request (CR) effective when the Effective Date differs from the approval date—so the controlled, signed CR becomes available for use at the right time.

Who Is This For?

  • CR Owners – Making the CR effective on the correct date

  • QA / Approvers – Verifying readiness and compliance before effectiveness

  • Managers – Monitoring readiness and timing of release

📝Note: This is only needed if the Effective Date is later than the last approval date. If the Effective Date is the same as the Approval Date, the system makes it Effective automatically - no additional action is required.

How to Do It?

Step 1: Open the Change Request module

From the sidebar, go to the Change module. Search and select the change request whose current state is 'Closed'.

💡Tip: You can also use the search bar to find the change request quickly.


Step 2: Make the Change Request effective

At the bottom of the Properties card, click Make Effective. Enter a clear justification, then Submit.


Step 3: Approve and sign

Choose Approve and Sign and enter your SimplerQMS login + password to apply the compliant e-signature. The template state then changes to Effective.

Documents and Templates linked to the CR

All controlled documents within the Change Request will automatically change their state from Awaiting Release to Effective once the Change Request becomes Effective.

Compliance reminder: Only make a CR effective when all preconditions are met (e.g., linked items processed per plan, training considerations addressed).

  • 💡 Add a strong justification. Clear rationales help future audits and internal reviews.

  • 💡 Double-check linked records. Ensure controlled items and actions are processed as planned before making the CR effective.
