Confirming Change Request and Controlled Items Are Effective

Change Request (CR) and all controlled items reach the Effective state and that the effective PDF copy is generated, signed, and traceable.

Who Is This For?

  • CR Authors / Owners – Verifying final states and documentation

  • QA / Approvers – Confirming readiness and completeness

  • Managers – Ensuring changes are implemented and usable

How to Do It?

Step 1: Open the Change Request

Go to Change from the left sidebar. Search and select the change request to validate its final status. Check the state field:

  • If the Effective Date is in the future → the CR will be Closed (awaiting the effective date).

  • If the Effective Date is today (or in the past) → the CR should be Effective and have an effective PDF generated.


Step 2: Confirm all controlled items are Effective

  1. Review each Controlled Item under Items to Change linked in scope (e.g., templates, quality documents).

  2. Confirm each record’s state is Effective.

💡 Tip: Filter or sort the items by State to quickly spot anything not Effective.


Step 3: Review traceability in the effective copy

The CR’s effective copy should include:

  • Controlled Items List – Shows included controlled items (if enabled for the CR).

  • User Actions List – Lists Actions associated with the CR (may be empty, but the section remains).

  • Revision History – Version history of the CR.

  • Signatures – Required signatures that confirm compliance.


Tips

  • 💡 Cross-check items by ID and title to ensure nothing is missed—especially items managed outside the main list views.

  • 💡 Use CR Actions to enforce completion before approval; this reduces the risk of non-effective items at closure.
