Simplify Document Management with a Unified Document View

SimplerQMS 2.3.0

App Version 2.3.0 introduces a new way to view and manage documents, bringing working copies and released versions together under one document view.

Alongside this update, the release includes improvements across Quality Events & CAPA, Training Management, Document Workflows, Change Control, Search, and Periodic Reviews. These improvements are driven by customer feedback, everyday quality needs, and the evolving requirements of Life Science organizations.

New Feature

Manage Documents with a Unified Document View

Documents are now organized around a single document view rather than appearing separately across Working Copies, Effective & Retired, and Archived tabs. Working copies and released versions are grouped under the same document, making it easier to understand the relationship between the current working version and released versions.

The Documents view now includes Archived as a separate view, while the views section can also be collapsed to give you more space when working with your documents. When opening a specific older minor version from the audit trail or version history, the document view also displays the relevant major and minor version number. Document-level Audit Trail information now brings together activity for the document, its working copy, and its released versions.

  • Understand the relationship between working and released versions more easily.

  • Identify the specific version you are viewing, including older minor versions.

  • Review document activity across its versions from one Audit Trail.

  • Keep the Documents workspace more focused and easier to navigate.


Bug Fixes and Improvements

Quality Events & CAPA

This release includes several improvements to Quality Events & CAPA, with a focus on relationships, permissions, assignments, and workflow visibility.

Improvements include:

  • Added Observations to QMS Records, with appropriate permissions and filtering.

  • Improved Quality Event and CAPA relationships, including clearer visibility of related Quality Events, CAPAs, Change Requests, and other related records.

  • Improved handling of Observation assignments when user licenses or permissions change.

  • Added CAPA as a reference entity for Custom Fields.

  • Improved the separation between Quality Events & CAPA modules and Document Control, helping ensure records are created and managed through the appropriate module.

  • Added Effective Date and Closure Date visibility to Quality Event properties when applicable.

  • Added Completion Date and Expected Completion Date visibility for CAPA Actions.

  • Improved permissions for creating CAPAs from Quality Events.

  • Improved handling of Observation Inbox ownership when users are downgraded from Full licenses.

These improvements provide clearer visibility into relationships between quality records and support more consistent management of quality records throughout their lifecycle.

Quality Events & CAPA improvement is now reflected in the training environment. This improvement provides an updated experience and may be relevant to your ongoing testing and process setup.


Training Management

Training Management improvements focus on reporting accuracy, assignment management, and clearer visibility into current training status.

Improvements include:

  • Improved Training Rule user selection so selected users remain visible when navigating between pages.

  • Improved Organization Training Status to provide a clearer snapshot of current training status for the selected 90-day period.

  • Updated Training Status reporting to distinguish between training completed within the selected period and currently due or overdue training.

  • Improved Training Analytics to align status reporting with current due and overdue training records.

  • Improved training reports and exports for greater visibility into documents, users, groups, and Training Rules.

These improvements provide a clearer view of current training status, make training reporting more consistent across different views, and help administrators manage Training Rules and assignments more reliably.


Document Workflows and Document Formatting

This release includes improvements to document workflows, PDF rendering, and document formatting, including fixes affecting migrated documents and signed PDFs.

Improvements include:

  • Improved interactions with electronic document signing workflows.

  • Improved the Close Review workflow.

  • Improved Effective Version PDF rendering for signed documents.

  • Corrected formatting issues affecting tables in migrated documents.

  • Corrected PDF viewer formatting issues that could affect spacing and number placement in some migrated documents.

These improvements provide more consistent document review and signing workflows, improve the presentation of documents, and maintain document formatting when working with migrated content.


Change Control

Change Control improvements address effectiveness checks and the handling of Effective Dates.

Improvements include:

  • Improved the Effectiveness Check workflow so completed Yes/No selections cannot be changed without being saved.

  • Improved propagation of Effective Date changes from Change Requests to associated Templates.

These improvements provide more consistent handling of completed effectiveness checks and help keep related Change Control records aligned when Effective Dates are removed.


Search

Improvement includes:

  • Improved document search results to provide more relevant results and reduce unrelated documents appearing for specific searches.

This improvement makes it easier to locate the documents you need when working in the Documents workspace.


Periodic Reviews

Improvement includes:

  • Added the ability to reschedule Periodic Reviews directly from My Work.

This improvement makes it easier to manage and adjust upcoming Periodic Review activities from your existing work queue.


Date Formatting

Improvements include:

  • Standardized date formatting across the system based on organization settings and time zones.

  • Improved handling of empty dates and fallback date values.

These improvements provide more consistent date displays across SimplerQMS and help users interpret dates according to their organization settings.


App Version 2.3.0 makes it easier to manage documents in one place, understand document history, and work with more consistent quality processes.
