Improve Due Date Management and Quality Workflows

App Version 2.1.0 introduces improvements designed to make quality work easier to manage, information easier to find, and workflows more consistent across SimplerQMS.

These updates are driven by customer feedback, everyday user needs, and the evolving requirements of Life Science organizations. From clearer due date management and more powerful search to improved document relationships and training workflows, this release focuses on practical improvements that help you work with greater clarity and confidence.

New Features

Manage Due Dates More Effectively

This release introduces improvements to due date management across Documents, Change Requests, and Templates. Due dates now support automatic notifications, improved visibility in the user interface, and additional control when a due date is changed during the approval workflow.

Improvements include:

  • Receive notifications when a due date is approaching or overdue.

  • Receive notifications for relevant Documents, Change Requests, and Templates that have a due date set.

  • Approaching notifications are sent when a due date is within 72 hours.

  • Overdue notifications are sent when a due date has passed.

  • Provide a justification when a previously set due date is changed after the workflow has reached the Approval step and subsequently moves back to Approval.

  • View Approval due date clearly in Documents, Change Requests, and Templates tables.

  • See additional information about document due dates in My Work through helpful tooltips.

  • Export Due date and Approved date information when exporting Documents, Change Requests, and Templates data to CSV.

Due dates are stored at the end of the selected day according to your organization's time zone and displayed as the selected date in the application.

Find Information Across Your Quality Records

Search can now search within the contents of PDFs, images, and supported Microsoft Office documents, in addition to record titles and metadata.

For scanned PDFs and images, Search can also identify text using Optical Character Recognition (OCR) when the text is recognizable.

Search results identify the file containing the matching content and display a relevant text snippet. Users only see information they have permission to access.

Bug Fixes and Improvements

Quality Events & CAPA Management

Quality Events & CAPA receives several improvements to support more consistent setup and handling of quality processes.

Default settings and templates now provide standard Quality Event Types for:

  • Complaint

  • Nonconformance or Deviation

  • Audit Finding

  • Supplier Issue

CAPA Types include Major and Minor. The release also improves the setup of user groups, allowed creators, CAPA ownership, and onboarding tags for common quality processes.

Observation workflows have also been improved, including:

  • Observation descriptions are now required to provide sufficient information for assessment.

  • Reviewers must provide information before completing an Observation review.

  • Reviewers can add additional files where supported by the workflow.

  • Observation descriptions support rich-text formatting when information is pasted from formatted sources.

  • Observation filtering and saved views are available to make records easier to manage.

  • CAPA views can also be created and saved.

Several Quality Events & CAPA workflow issues have also been corrected. For example, when a CAPA is checked back in, the interface now updates without requiring a manual page refresh.

Observations linked to archived Quality Events can also be handled correctly, allowing the Observation to move through the appropriate workflow rather than remaining locked in an Escalated state when no active Quality Event exists.

Quality Events & CAPA improvements are now reflected in the training environment. These improvements provide an updated experience and may be relevant to your ongoing testing and process setup.


Document Control

Several improvements make document workflows more consistent and reliable. The release addresses an issue that could prevent users from approving certain documents, including cases where approval resulted in an error.

Reverting to a previous document version has also been improved so that the selected version can be used as the baseline for a new version. Document status in the Documents view now updates more consistently with the actual workflow status. Document version selection has also been improved so users can select from the major versions they have access to and navigate directly to the relevant document state.


Effective PDF Consistency

Improvements have been made to the formatting and information displayed in Effective PDF copies.

These include corrections to:

  • Watermark rendering in Effective PDFs.

  • Author, Reviewer, and Approver information displayed in the Effective PDF.

  • Incorrect For Training watermarks appearing on Effective copies.

  • Header and logo positioning.

  • Footer and page-number formatting.

  • September date formatting, so the configured Sep abbreviation is displayed consistently.

The Effective PDF should now better reflect the approved document formatting and configured user information from the Working Copy.


Training Management

Training Management receives several usability and reporting improvements. The release corrects duplicate Training Record State Changed to Completed entries in the Audit Trail and improves the persistence of selected users when configuring Training Rules across multiple pages.

Training Report filters now work independently, so categories such as Due, Pending, and Overdue return the appropriate records. The Training Rule page has also been improved to provide more reliable scrolling when working with longer configurations.


My Work and Notifications

My Work now responds more consistently when document metadata changes. For example, when a user is removed as the Author, the document is removed from that user's My Work queue.

Document due dates in My Work also provide additional context through hover information, helping users understand that the displayed due date relates to the approval step.

The release also corrects an issue that could send an authoring notification after a Template had already been approved.

Terminology in the interface has been aligned for greater consistency, including Organization instead of Workspace and My Work instead of Home.


Document Type Settings

Document Type settings now more consistently control whether users can create documents of a particular type. When Document Creation is disabled for a Document Type, users should no longer be able to create documents of that type.


User and Access Management

Several access-related issues have been resolved, including an error that could prevent users from being removed from a User Group. The release also addresses cases where users encountered an Unable to save access changes error while performing actions such as updating access on working documents.


Audit Trail

The Audit Trail now records relevant print and download events, providing information about who performed the action and when. This improvement provides greater visibility into document access activity. It does not introduce controlled-printing functionality.


App Version 2.1.0 brings practical improvements that help you stay on top of time-sensitive quality activities, find information more easily, and work with greater consistency across your QMS.
