Events Module Introduction

Events are where your organization records and manages anything that affects quality, from the first time an issue is noticed to a fully resolved and verified outcome. This article introduces the three core concepts: Observations, Quality Events, and CAPA

An Observation captures something you have noticed. If it needs formal handling, it becomes a Quality Event. If that Quality Event needs a lasting fix, it leads to a CAPA.

The Event flow

Observations

An Observation is the starting point for anything that might affect quality.

It is a quick, low-effort way for anyone to record something they have noticed, before anyone has decided how serious it is. An Observation can be:

  • A possible problem

  • A near miss

  • An improvement suggestion

  • Or simply something that does not look right

Once raised, an Observation is evaluated. From there, one of two things happens:

  • If it needs formal handling, it becomes a Quality Event.

  • If it does not, it is closed, and the reason is recorded.

Think of an Observation as the front door to the quality system. It captures an issue early so nothing gets lost while its importance is worked out.

Quality Events

A Quality Event is the umbrella term in SimplerQMS for a confirmed quality issue that needs to be formally recorded, investigated, and resolved.

Many of the things you already deal with are Quality Events. For example:

  • Non-conformity

  • Deviation

  • Customer Complaint

  • Audit Finding

  • Any similar issues

Instead of running a separate process for each type, SimplerQMS handles them all through one consistent workflow which is configurable for each Event Type you set up.

A Quality Event often begins as an Observation. Once it is escalated, it is assessed for:

  • How severe it is

  • Whether it must be reported to the relevant authorities

  • Whether it needs corrective and preventive action

Handling every issue in one place means each one is triaged, investigated, and closed the same way, with a complete record behind it.

CAPA

CAPA stands for Corrective and Preventive Action. It is the structured follow-up that keeps a problem from coming back.

A CAPA usually comes from a Quality Event, once you decide the issue needs more than a quick fix.

In SimplerQMS a CAPA is planned, executed, reviewed, and approved. CAPA Actions can be assigned to all members of the team to ensure that all issues are addressed by the right people. These are separated into:

  • Corrective action addresses the root cause, so the same problem does not happen again.

  • Preventive action tackles a potential cause before it ever happens.

Where the CAPA type requires it, the effectiveness is then verified before the CAPA is closed. This lets you show that the fix actually worked.
