Structured document control and clear process ownership are essential for maintaining compliant and efficient quality processes. In this release, SimplerQMS introduces improvements to document number formatting and process ownership permissions to support more consistent documentation and more flexible process management.

App Version 1.6.0 is available to all SimplerQMS customers as of March 11, 2026.
Flexible Number Formatting in Document Types
You can now configure document IDs to include leading zeros in the numeric portion of the ID. This allows organizations to maintain a consistent fixed-width numbering format (for example, SOP-00001 instead of SOP-1).
This option helps standardize document identifiers and improves readability, sorting, and traceability across documents. This configuration is available to Full license users with the Admin role.
To configure number formatting:
Go to Settings
Open the Document Types tab
Select the desired document type
Toggle “Pad number with leading zeros”
Select the number of digits
Click Save
The selected digit length is reflected in the ID Preview and applied to all newly generated document IDs. Padding is optional. If disabled, document numbering behaves exactly as before.
This configuration is available when the ID numbering strategy is Global or Local.
Organizations using Manual numbering cannot apply this formatting. To transition to automated numbering, contact the SimplerQMS Customer Success team for assistance.
Edit Documents as Process Owner
Process Owners can now edit and update documents within their assigned process, even if they are not listed as the document owner or author.
Previously, Process Owners could access documents linked to their process but were unable to modify them.
With this update, Process Owners can:
Edit documents within their assigned process
Update document details
Manage document relationships within the process
This change enables clearer operational ownership and improves the ability of process owners to maintain documentation within their processes. This capability is available to Full and Standard license users with the Admin role.
Other Updates to Support Your Day-to-Day Work
This release also includes several improvements and fixes to enhance system reliability and usability.
Improved Periodic Review dates
Periodic Review dates now use the document’s effective date instead of the creation date of the periodic review object. This ensures migrated documents retain their historical review cycle and prevents review timelines from resetting during document import.User interface updates
Improvements have been applied to Change Request, Notifications, Settings (Tags, Change Control, and Document Types), My Work panel, and password error messaging. These updates improve navigation and overall usability.Automatic tag for EU and US organizations
New organizations are now automatically tagged with their region (EU or US) when created. This helps support environment tracking.Display last login timestamp
Admin users can now view the last login timestamp for internal users. To access this information, go to Settings and select Users tab. This helps Admin users identify inactive users and monitor login activity.Workflow and system fixes
Additional fixes have been applied to the Processes list in Settings, Change Request effective status behavior, missing authentication events, file uploads, search results, filter dropdown behavior, and tags field dropdown visibility.
